Emailing Trip Quote Itineraries
After you create a Trip Quote, you can send the itinerary to your travelers in an email.
To configure Trip Quote to send emails:
Before you can send emails from Trip Quote, make sure that the Email Configuration section of the Trip Quote Settings is completed.
- If you use Microsoft Outlook, you can set Trip Quote to use your current Outlook settings.
- If you use another email software, you may need to ask your Travelport Smartpoint administrator or technical support to provide the required configuration information.
To preview a Trip Quote itinerary:
- From the Trip Quote basket, select the desired options.
Tip! Click Select All Options if you want to add all options in the Trip Quote basket to the itinerary.
- Click ACTION to display the Trip Quote Actions screen.
- Select Email as. Optionally, you can also select Copy to clipboard as to send an email and copy text at the same time.
- Select the desired format: HTML, Text, or Raw. See Preview Formats for examples.
- In To, enter one or more email addresses for delivery. If you enter more than one email address, separate each address with a semi-colon ;. For example:
anotheragent.name@agency.com; boss.traveler@company.com; accountspayable@company.com
- Optional. In Cc and Bcc, enter one or more email addresses for delivery for carbon copy (CC) and blind carbon copy (BCC).
Tip! CC and BCC addresses may display automatically if they have been added in the Email Configuration section of the Trip Quote Settings. If you add more addresses manually, they will be included only for this itinerary.
- Optional. In Subject, change the subject line for the email.
- Optional. Customize the itinerary in the Trip Quote Actions screen to make additional changes to the itinerary.
- Optional. After you complete any desired changes, click PREVIEW to preview the itinerary with the selected options.
- Click PROCEED to send the email.
After it is sent, a success message is displayed at the top of the Trip Quote Actions screen.
The sent email can be found in the Sent box of Microsoft Outlook or your email system that is configured for Trip Quote.
Help! I cannot send an email!
If the email feature does not work for Trip Quote:
- Confirm your email configuration in the Trip Quote Settings.
- If Trip Quote email still does not work, you can open a new email and select Copy to clipboard as to copy and paste the itinerary content into the email. You can use the copy feature until you are able to resolve the email issue.
