Preferred Provider Report
The Preferred Provider Report offers a convenient way to review the amount of business your agency does with providers. You can also use it to monitor agent compliance with your agency’s preferred and discouraged provider policies. You can run the report by using tickets, segments, or agents.
Note: This report is limited to the branches to which the employee has access.
You can use a corporate format for this report, which breaks pages on account ID and prints the account name in the header. By selecting this option, your corporate accounts can use the report to negotiate rates with vendors. They can also monitor employee compliance with their preferred and discouraged vendor policies.
This report categorizes providers as discouraged, neutral, or preferred. You can use the Account ID function to set preferences for individual providers in the following two ways:
- For agency preferences, use the Preferred Provider field on the Edit Provider screen. For details, see Edit Provider Screen.
- For corporate preferences, use the Customer Preferences dialog box, which you can access by clicking the Travel Preferences link on the Edit Customer screen. For details, see Edit Customer Screen and Provider Preferences.
Running the Report
To run the report:

On the Accounts submenu, click Preferred Provider Report.
The Preferred Provider Report dialog box appears.
Field descriptionsThe following table describes the fields on the Preferred Provider Report dialog box.
Field Description By
Indicates to run the report using tickets, segments, or agents. Select one of the following options from the drop-down list:
- Ticket – Uses the validating carrier and amounts from the invoice.
- Segment – Uses the airline and fare from the segments.
- Agent – Uses the validating carrier and amounts from the invoice.
Preference
Providers to include on the report (by provider preference). Select one of the following options from the drop-down list:
- All – All providers regardless of provider preference.
- Discouraged – Discouraged providers only.
- Neutral – Neutral providers only (neither preferred nor discouraged).
- Preferred – Preferred providers only.
Travel Type
Type of travel to include on the report. Select All to include all travel types.
Corporate
Indicates whether to use the corporate format for the report, which breaks pages on account ID and prints the account name in the header. This format enables you to distribute information to your corporate clients that specifically applies to them.
Account ID
Corporate account ID. Specify a full account ID to run the report for this customer account only. This field is available only if Corporate is selected.
You can also specify @TAGGED to run the report for tagged customer accounts only, or @ followed by a customer interest code (for example, @SKI) to run the report for only accounts with that interest.
Leave this field blank to run the report for all customer accounts.
To find and select a customer account ID, click the lookup () button. The Find an Account ID screen appears. For details, see Using the Lookup Buttons and Screens.
Date Type
Type of date range to use for the From and To fields. Select one of the following options from the drop-down list:
- Invoice Dates – Uses invoice dates.
- Travel Dates – Uses travel (departure) dates.
- Comm Rcvd Dates – Uses commission received dates.
From (for date range)
Beginning date of a range of dates. If the Date Type field is set to Invoice Dates, use invoice date. If set to Travel Dates, use travel (departure) date. If set to Comm Rcvd Dates, use commission received date. Invoice items within the specified range of dates will be included on the report. You must use this date in conjunction with the To date to define a range.
To (for date range)
Ending date of a range of dates. If the Date Type field is set to Invoice Dates, use invoice date. If set to Travel Dates, use travel (departure) date. If set to Comm Rcvd Dates, use commission received date. Invoice items within the specified range of dates will be included on the report. You must use this date in conjunction with the From date to define a range.
Order Detail By
Click the drop-down list to select which field to order the detailed report: Invoice number, ticket/confirmation number, traveler.
Sort/Subtotal 1
First-level field to use for sorting report data. The report also subtotals based on this field. The following fields are available from the drop-down list: Account ID, Booking Agent, Branch, Selling Agent, Sort 1, Sort 2, Sort 3, Sort 4, and Travel Type. GlobalWare first sorts data based on this field, and then sorts on provider preference levels.
Page Break (for sort/subtotal 1)
Indicates whether to start new report pages based on the field specified in Sort/Subtotal 1.
Sort/Subtotal 2
Second-level field to use for sorting report data. The report also subtotals based on this field. The following fields are available from the drop-down list: Account ID, Booking Agent, Branch, Selling Agent, Sort 1, Sort 2, Sort 3, Sort 4, and Travel Type. GlobalWare first sorts data based on this field, and then sorts on provider preference levels.
Page Break (for sort/subtotal 2)
Indicates whether to start new report pages based on the field specified in Sort/Subtotal 2.
Sort/Subtotal 3
Third-level field to use for sorting report data. The report also subtotals based on this field. The following fields are available from the drop-down list: Account ID, Booking Agent, Branch, Selling Agent, Sort 1, Sort 2, Sort 3, Sort 4, and Travel Type. GlobalWare first sorts data based on this field, and then sorts on provider preference levels.
Page Break (for sort/subtotal 3)
Indicates whether to start new report pages based on the field specified in Sort/Subtotal 3.
Include Group Air Included in Package Price
Indicates whether to include items that have the combination of sale type G (Group), revenue type A (Air), and settlement type A (ARC) or D (Direct). You might want to exclude these items from the report because they are included in the total price of the group package and not in the ticket.
Summary Only
Indicates whether to create a summary-only report. It includes only subtotals and totals for sales and bookings, counts, and percentages of total sales.
Include YTD info
Indicates whether to include year-to-date information on the summary report. This field is available only if Summary Only is selected.
Landscape
Indicates whether to create the report in landscape mode, which provides a wider column for traveler names. This field is available only if Summary Only is not selected.

Complete the fields as appropriate.
Note: The date fields for Date Range are required.
- Choose one of the following print options:
To print the report immediately, click PRINT.
The Send to dialog box appears. Select a report destination. For more information, see Printing Overview.
To store the report as part of a batch for printing later, click BATCH.
The Choose a Batch dialog box appears. For more information, see Batch Printing.

Report Notes
- If you run the report using segments by travel date, the travel date range applies to the ticket (departure) date. For example, if a ticket has two segments on 12/1 and 12/7 and you run the report for 12/1, both segments are included.
- The report has separate columns for booked amounts and sold amounts. Booked amounts are tracking items. Sold amounts are all other settlement types. At the end of the report, the total booked and sold amounts are these added together.
