Selling Cars from Availability with the Car Booking Tool

The Car Booking Tool provides an interactive screen that allows you to search for cars from availability.

To search for a car from availability:
  1. To open the Car Booking Tool, use one of the following options:
  • From the Reservations menu, select Car Booking Tool.
  • Click the Calendar tab in the lower right corner.

  1. Select the drop-off and pick-up dates, then right-click on the date to display the options.
  2. Click Car to launch the Car Booking Tool in the Smart Panel. The dates from the calendar pre-populate the date fields in the Car Booking Tool.
  • Click the Seat Map link or enter #CAR link in the Quick Key shortcuts in the Smart Screen.

  • Click the Car Booking Tool link in the Top 10 Go! Scripts in the Smart Panel.
  • Click an air segment number in the PNR Viewer and select Car Booking Tool.

The Car Booking Tool is displayed in the Smart Panel.

Tips!

  • If booked air segments are present in the PNR, the fields for locations, dates, city/airport codes, and flight number fields are automatically pre-populated from the itinerary.

When selling a rental car with air segments, Worldspan assumes that the air segment:

  • Before the car segment is the arrival air segment with the pickup airport, date, and time.
  • After the car segment is the departure air segment with the drop-off airport, date, and time.
  • If you switch to the Car Booking Tool from a manual entry, your entries are automatically pre-populated from your cryptic request.

Enter your car availability request, then click the Run Related Script icon to display the Car Booking Tool with your pre-populated entries.

Exceptions:

  • You must enter both a pick-up date and a drop-off date. If you enter only a pick-up date, the Car Booking Tool does not pre-populate.
  • Car type codes, such as ECAR or ICAR, display only the first item in the car type code (the car category). For example: ECAR displays only the Economy car category and ICAR displays only the Intermediate car category. Additional search modifiers from the car type code are not displayed: Type, Transmission/Drive, and Fuel/Air Conditioning.
  1. Select Shop/Sell.
  2. Click the Pick-Up Location drop-down arrow to select or change the pick-up location type.
  3. In the text box below, enter the information for the requested type of pick-up location.
  1. Optional. By default, the drop-off location is the same as the pick-up location. To change the drop-off location, click the Drop-Off Location drop-down arrow to select the drop-off location type.
  2. In the text box below, enter the city or airport code for the drop-off location.
  3. If you displayed the Car Booking Tool from an air segment in the PNR Viewer, the selected Airline and Flight Number are pre-populated and are required to complete the Car Availability search.

If you did not display the Car Booking Tool from an air segment, Airline and Flight Number do not display and are not required to complete the Car Availability search.

  1. In Pick-Up Date, either:
  • Enter a date in DDMMM format. For example: 07MAR and 24JUL.
  • Click the Calendar icon to select a date from the calendar pop-up.
  1. In Pick-Up Time, enter the time.
  2. Optional. By default, the Drop-Off Date is the day after the Pick-Up Date. To select a different date, enter the date or select the date from the calendar.
  3. Optional. By default, the Drop-Off Time is the same time as the Pick-Up time. To select a different time, enter the time.
  4. All additional fields in the Car Booking Tool are optional search modifiers. Complete any desired search options.
Modifier Description

Rental Car Company

Select a rental company (vendor or supplier) to limit the car availability display to that rental company only.

Scroll to select one to six rental car companies. To select more than one company, press the CTRL key while you click on each company.

Car Type

For car type, you can either:

  • Scroll through the Car List to select a maximum of three car types, such as Compact, Standard, or Luxury Elite. To select more than one type, press the CTRL key while you click on each type.
  • Click specific car code to enter a car type codes. For example, a CDMR type is a compact, 4 – 5 door car, with manual transmission and air conditioning.

You can enter a maximum of three car type codes, separated by a dash. For example: CDMR-CBMN-FDCR.

Corporate ID Number

Enter a corporate discount number or client ID.

Tip! Click Settings icon to set pre-population preferences for a Corporate ID Number (CD) field from 5.C remarks.

In the settings for Car Booking Tool, you can set the pre-population preference for CD and ID remarks from a World File or PNR.

To pre-populate, these Corporate ID Number remark must have the correct formats. The following formats are accepted, where XX is the supplier code:

  • 5.CXX CD-123456
  • 5.CXX/CD-123456

Frequent Renter ID

Enter a frequent renter identifier from a car rental company.

Tip! Click Settings icon to set pre-population preferences for Frequent Renter ID (ID) field from 5.C remarks.

In the settings for Car Booking Tool, you can set the pre-population preference for CD and ID remarks from a World File or PNR.

To pre-populate, the Frequent Renter ID remark must have the correct formats. The following formats are accepted, where XX is the supplier code:

  • 5.CXX ID-123456
  • 5.CXX/ID-123456

Rate Code

Enter the code for a supplier rate.

 

Rate Category

Click the arrow to request a rate category, such as Association, Business, Corporate, or Government.

Tour Code

Enter a tour code.

Frequent Flyer/Traveler

Enter a frequent flyer ID, frequent guest ID, or other frequent traveler identifier that has a cross-accrual with the car rental company.

The following formats are accepted, where XX is the supplier code:

  • 5.CXX ID-123456
  • 5.CXX/ID-123456

Booking Source

Enter the booking source.

Voucher Number

Enter a voucher number.

Billing Reference

Enter a billing reference.

Currency Code

Enter a preferred currency code.

Credit Card Guarantee Information

If a guarantee is required:

  • In Code & Nbr, enter The two-letter credit card vendor code and card number. For example: AX3456333322221111.
  • In Exp Date, enter the expiration date in MM-YY format. For example: 09-22.

Supplementary Information

Free-form comments or requests. For example: NON-SMOKING CAR.

Special Equipment

Select special equipment, such as car seat, wheelchair, ski rack, and WiFi enabled.

To select a maximum of six types of equipment, press the CTRL key while you click on each type.
  1. After you complete your search request, click CONTINUE. 
  2. If you requested Airport Code and/or City Codes for your search location, the Car Availability display opens.
  3. If your requested a City Name or Postal Code for your search location, a list of applicable options is displayed. Click the Select link in the desired option from the Pick-Up Location list and/or Drop-Off Location list.

The Car Availability display opens after you select your car supplier location from the list.

As applicable, click the Select link in the desired option from the Pick-Up Location list and/or Drop-Off Location list.

You can also click the Back Arrow icon to redisplay the previous screen and return to the main Car Booking Tool screen.

Search by City Name

In this example, a search was requested for a drop-off location with a city name of Dover. Cities with both the name Dover and similar names, such as Andover are displayed.

Search by Postal Code

In this example, a search was requested for a pick-up location with a postal code of 70000. Locations in any country that contain the requested digits are with both the name "Dover" and similar names, such as "Andover" are displayed.

  1. If your requested All Locations for your search location, and you entered a city name, a similar names list is returned. After you select a city location, the list of rental car locations for that city is displayed.

As applicable, click the Select link in the desired option from the Pick-Up Location list and/or Drop-Off Location list.

You can also click the Back Arrow icon to redisplay the previous screen and return to the main Car Booking Tool screen.

Search by All Locations

In this example, a search was requested for a pick-up location with a city name similar to Main. Select the desired city from the list and click CONTINUE.

In this example, Mainz, Germany was selected, so the Pick-Up Location list displays rental car locations for Mainz.
