Accessing Commission Tracking Items

To access commission tracking items:

  1. On the Commission submenu, click Commission Tracking. Alternatively, click the Commission Tracking () icon on the GlobalWare icon toolbar.

    The Commission Tracking screen appears.

    Tip: You can increase the size of this screen by dragging an edge or corner to the desired size. This enables you to more efficiently view and work with data in the Search Results grid.

  2. Enter the following criteria:

    Field Description

    Travel Type

    Select a travel type to limit the query to that type, or All for all travel types.

    Status

    Item status. The report will include items with this status only. Select one of the following options from the drop-down list:

    • All Items – Includes all items (regardless of payment status or amount).
    • Paid Items – Includes only items that are paid in full and marked received.
    • Unpaid Items – Includes items that are not paid in full (not paid or partially paid). Items with zero commission will be included when Unpaid Items are selected until you mark them received. Also, tracking items are considered paid in full when any amount is received and so this excludes partially paid tracking items.
    • Zero Commission Items – Includes items that have a zero commission.
    • Zero Commission, Unpaid Items – Includes items that have a zero commission and are not paid in full (not paid or partially paid).
    • Zero Total Items – Includes zero total cost items only. (This can help you catch interface errors in car and hotel pricing.)
    • Unpaid and Partial Paid Tracking – Includes unpaid items (as above) and also partially paid tracking items (the commission received does not equal the commission due).

    Branch

    Branch (booking location) or location group. The report will include items for this branch or location group only. Only those branches to which the user has access display. Select All to include items for all branches to which the user has access.

    To find and select a branch or location group, click the lookup () button. The Find Branch screen appears. For details, see Using the Lookup Buttons and Screens.

    Settle

    Select a settlement type to limit the query to that type, or All for Invoice and Tracking settlement types.

    Travel/Invoice/ ComRcvd Dates

    To limit the query by dates, choose Travel (departure) Dates, Invoice Dates, or ComRcvd Dates. Then enter a beginning date, ending date, or date range.

    Look at Plastic Items Only

    Indicates whether to limit the query to items with plastic (P) form of payment only.

    Exclude Zero Commission Items

    Indicates whether to exclude items with zero commission due.

    Account ID

    Full or partial customer account ID. If you specify a full account ID, the Search Results grid will display items for this account ID only. Use the wildcard character (*) to specify a partial account ID, as shown in the following examples:

    71*

    Displays items for account IDs that begin with "71" (for example, "7126" and "7153").

    *71

    Displays items for account IDs that end with "71" (for example, "2071" and "10071").

    *71*

    Displays items for account IDs that contain "71" anywhere (for example, "7126", "10713", and "10071").

    You can also specify "@tagged" to display items for tagged accounts only, or "@" followed by a customer interest code (for example, "@SKI") to display items for only accounts with that interest.

    To find and select a customer account ID, click the lookup () button. The Find an Account ID screen appears. For details, see Using the Lookup Buttons and Screens.

    Leave this field blank to display items for all customer accounts.

    Provider

    Enter the account ID of the provider to limit the query to that provider.

    If you enter a partial provider ID (no wildcard character), the review will include transactions for providers whose account ID begins with those characters.

    To find and select a provider account ID, click the lookup () button. The Find an Account ID screen appears. For details, see Using the Lookup Buttons and Screens.

    Property

    Enter the account ID of the hotel property to limit the query to that property.

    If you enter a partial property ID (no wildcard character), the review will include transactions for properties whose account ID begins with those characters.

    Confirmation Number

    Enter a confirmation/ticket number to limit the query to items with that number.

    If you enter a partial confirmation number (no wildcard character), the review will include transactions whose confirmation number begins with those characters.

    R Gets Received Date

    If you plan to mark items as received, enter the date that you want to appear in the Commission Has Paid On field on the invoice.

    Sort 1, 2, 3, 4

    Select fields you want to sort on in Sort 1 - 4. These sorts are used for the browse grid and the report. You can choose from the following options in the drop-down list:

    <None> (No sort)
    Account ID
    Booking Agent
    Branch
    Depart Date
    Fop
    Invoice Date
    Invoice Number

    Property Code
    Provider
    Rev Type
    Selling Agent
    Settle Type
    Ticket/Confirmation #
    Travel Type
    Traveler

    To find a specific traveler in Commission Tracking, set Sort 1 to Traveler Name. For more information, see Finding A Specific Traveler in Commission Tracking.

    To subtotal or page break on the report when the sort field changes, click the box next to the respective sort selection.

  3. After entering criteria, select SEARCH. Items that match your criteria are listed in the Search Results grid.

    Any items for which some commission has been paid are highlighted. Non-highlighted items have had no commission received. (Note: These are slightly different than the Paid Items and Unpaid Items statuses in the Status search-criteria field at the top of the screen.) Zero-commission items are highlighted if they have been marked received.

    Note: To view invoice detail for a listed item, select the item and press F4. The Invoice Display screen appears. For more information, see Invoice Display Screen.

  4. You now can edit data, change the status, and run a report.
