Policy Administrators Overview

You can create and manage policy administrators on the Manage Agencies tab. The policy administrator types and permission levels are as follows. A detailed explanation is provided in the table at the end of this page.

  • Agency group administrator: Can administer policy and create and delete all other administrators for any account and/or traveler group attached to any agency in their agency group.
  • Agency policy administrator: Can administer policy data for all accounts and/or traveler groups within that agency. Can create and delete other agency policy administrators, account policy administrators, and account group administrators within the same agency hierarchy.
  • Account group adminstrator: Can administer policy data for all accounts within their account group. Can create and delete other account group administrators and account policy administrators for any account within their account group.
  • Account policy administrator: Can administer policy data only for their own account. Can create and manage other account policy administrators within the same account.

Note: The header on all Universal Policy screens displays certain details about the currently logged-in administrator. See Admin Header Details for more information.

Create and Manage Admins

To create and manage policy administrators, click the Manage Agencies tab on the top of any Universal Policy screen. The Manage Agencies menu provides the following options, depending on the administrator's role:

  • Create Agency Group Admin: Create and delete agency group administrators for any account group or account within the admin's agency group. (Available only to agency group administrators.)
  • Create Agency Policy Admin: Create agency policy administrators and account group administrators for any account group or account within the admin's agency. (Available to agency policy administrators and agency group administrators.)
  • Create Account Group Admin: Create account group administrators for any account or account group within the admin's account or agency group. (Available to all administrator roles except account policy admins.)
  • Create Account Policy Admin: Create account policy administrators for any account or account group within the admin's account or agency group. (Available to all administrator roles.)
  • Manage Policy Administrators: Search for and manage other policy administrators. (Available to all administrator roles.)
  • Administer Policy Data (for agency policy admins, account group admins, and account policy admins) or Administer Agency Policy Data (for agency group admins): Select the agency or account for which to manage policies.

Read-only Access

When you create a new administrator in any of the above roles, you can set the administrator to have read-only access to Universal Policy. This allows the user to see policy data but not create, edit, or delete it. To do so, when creating a new administrator using any of the links above, select the Administrator has read-only access box.

Admin Permissions

The following table groups the permissions and functions available to each role type at the agency and account levels.

Create or delete other account group admins and account policy admins for any account within their account group.
