Editing and Deleting General Ledger Transactions

You can change all fields in the Search Results grid on the GL Edit & Query screen for transactions without a pay ID except Sr (source), Control #, Date (post date), Pay ID, and Seq (sequence). (Use Move GL Control Number to change the post date.) You can change the St (status) and Closed (closed date) fields for transactions with a pay ID. You can also change the Sub Sr (subsource) field for receipt sources only. For more information about subsources, see General Ledger Transactions.

To save changes, click OK, or to discard changes, click the exit () icon or press Alt+X.

To delete an item, press Ctrl+Delete (because deletion of a line item temporarily unbalances the control number, you must allow unbalanced entry by pressing Shift+F5 and selecting the Allow Unbalanced Entry check box before deletion will be allowed), and answer Yes to the prompt.

Note: The deletion occurs when you click Yes; clicking the exit () icon or pressing Alt+X does not discard the deletion.

Shift+F4

Displays more information about the subledger item.

F4

Displays balances for the general ledger account. For more information, see GL Account Display Screen.

F2

Copies the value on the current line to the line below.

F3

Copies the value on the current line to all lines below to end of query.

F5

Displays batch posting detail about the selected batch post item. For more information about viewing batch post details, see General Ledger Transactions.

F6

Copies the value on the current line to the line above.

F7

Copies the value on the current line to all lines above to top of query.

F8

Undoes edits (restores original value).

F10 (Amount field only)

Populates the reversing balance of all items in the grid into Amount.

F10 (all fields except Amount)

Copies the value from the line above into this field.

Shift+F6

Recalculates the branch balancing entries.

Shift+F5

Displays the Allow Unbalanced Entry option, which you must select when deleting a row or editing an entry to be out of balance.
