Account ID Overview
The Account ID function provides two primary benefits:
- Maintenance of general account information for customers, providers, vendors, and employees.
- Contact management and marketing capabilities for all your customer accounts, including interest lists, contact dates and reports, mail merge, and label printing.
Account Terminology
Some of the terms used in the Account ID function are defined below.
Account ID
The account ID functions as a unique identifier for each account that you set up. GlobalWare allows up to ten characters for each account ID (the ID should be at least two characters). Account IDs must be unique regardless of the type of account. For example, if you use AL for Alamo Rent a Car, you cannot use AL for employee Alice Long. Account Type
The account type enables you to distinguish between the various types of accounts that you set up and are using in the management of your business. GlobalWare offers four types of accounts: Customers, Providers, Vendors, and Employees. The information stored for each type of account differs slightly due to the nature of each account.
Account Name
The account name is the first line of the name and address fields in the Account ID record. The full or partial name can be used when searching for an account.
Sort Name
The sort name is a user-defined field that provides additional sorting and searching ability in Account ID. Sort name is particularly useful for account IDs that are not based on the account name, such as airline providers or numeric customer account IDs.
You can enter the sort name or part of it in the Account ID field in Account ID maintenance, Adjust Accounts, Bank Deposit, and Write Checks if you do not know the actual account ID. If more than one account ID has the entered value in its sort name, a list will appear for you to choose from.
For your leisure customer accounts, we suggest you use their phone number as part or all of the account ID. Then, in the sort name, use their last name plus the first few characters of their first name so that you can search and sort your accounts by last name as well (for example, MAES JENNY).
