Managing User Views for Database Access via ODBC

By using the Edit User View (EditUserView.exe) utility, a GlobalWare administrator can set up any GlobalWare user to use any ODBC-compatible application to view data or edit non-accounting data in the GlobalWare database. This utility requires the administrator and the user to provide their GlobalWare user IDs and passwords. Administrators must be GlobalWare users that have High permission selected under System Menu on the Employee Security screen. For more information, see Employee Security.

Note: Passwords that access the GlobalWare database expire according to agency PCI security settings. For more information, see Changing PCI Security.

Administrators can set up any of the following user views for other users:

To create any of these user views, see Creating User Views below. You can also use the Edit User View utility to delete user views. See Deleting User Views below.

Tip: Because the Edit User View utility only enables you to change one table record at a time, consider using the Import Invoices function when you want to make many changes that affect the following kinds of data:

Creating User Views

To create a user view (global, edit, or custom):

  1. Log on to GlobalWare as a user with High permission selected under System Menu on the Employee Security screen. For more information, see Employee Security.
  2. Using Windows Explorer, open the Gblware folder and double-click EditUserView.exe.

    Note: You indicated where the Gblware folder should be located when you installed GlobalWare.

    The Edit User View dialog box appears.

  3. In the View Type field, select Global, Edit, Custom, Cashier Module, or CTS from the drop-down list.

    • For Cashier Module, contact the GlobalWare Help Desk for assistance with accessing the cashier module if you have a contract to use it.
    • For CTS, contact the GlobalWare Help Desk and identify yourself as a CTS user who needs the CTS user view.
    • For Delete, see Deleting User Views below.
  4. Under Create for Employee, the user to be granted a user view must type their GlobalWare user ID and password.
  5. Under Granted by Admin, the administrator must type their GlobalWare user ID and password.

    Note: The administrator's user account must have High permission under System Menu on the Employee Security screen. For more information, see Employee Security.

  6. Click OK.

    GlobalWare creates the user view if the view type is Global, Edit, Cashier Module, or CTS. If it is Custom, the Edit User View screen expands to display more selections.

    In this case, continue to the next step.

  7. To grant the user read-only access to a table, select the table in the left-side box under View Table Access and click the right-arrow () button to move it to the right-side box. To remove a table from access, select the table in the right-side box and click the left-arrow () button to move it to the left-side box. You can also use the double-arrow buttons ( or ) to move all tables at once.
  8. To grant the user limited rights to update a table, select the table in the left-side box under Edit Table Access and click the right-arrow () button to move it to the right-side box. To remove a table from access, select the table in the right-side box and click the left-arrow () button to move it to the left-side box. You can also use the double-arrow buttons ( or ) to move all tables at once.
  9. When finished, click SAVE.

    A message appears, informing you that the user has been updated with the user view.

  10. Click OK.

Note: When you connect to the GlobalWare database by using an ODBC connection, make sure that you sign on with your GlobalWare user account by using ALL CAPS for the user ID and password. If your log-on credentials are not set up with the appropriate user view, you will receive an error message. It might be necessary to set up a new user ID and password if you repeatedly receive the error message.

Deleting User Views

You can delete a user view by using the Edit User View (EditUserView.exe) utility, as explained below. However, if the user is no longer an employee, use the Account Editor (Acctedit.exe) utility to remove the user account from GlobalWare. Removing the user account also removes the user view. For details, see Deleting Accounts.

To delete a user view:

  1. On the Edit User View dialog box, select Delete from the View Type drop-down list.

    Note: To access the Edit User View dialog box, see Creating User Views above.

  2. Under Create for Employee, the user of the user view to be deleted must type their GlobalWare user ID and password.
  3. Under Granted by Admin, the administrator must type their GlobalWare user ID and password.

    Note: The administrator's user account must have High permission under System Menu on the Employee Security screen. For more information, see Employee Security.

  4. Click OK.

    A message appears, informing you that GlobalWare has deleted the user view.

  5. Click OK.
  6. To close the Edit User View dialog box, click the exit () icon or press Alt+X.
