About ApolloFax
Provides the convenience of AT&T services without leaving your Apollo terminal.
Lets you fax a copy of an Apollo itinerary/invoice to any location worldwide.
Works with an Apollo itinerary/invoice, including those with air, car, hotel, LeisureShopper, and Amtrak segments.
Faxes the same itinerary/invoice that appears on your office printer.
Records the fax transmission in PNR history.
Gives you the option to send a cover sheet.
Provides an option to include your agency logo on the fax cover sheet.

You can send a fax in three easy steps
  1. Display the PNR that contains the itinerary/invoice to fax.
  2. Add the modifier DFX to any HB or HB: format to display the ApolloFax fill-in format screen and start the fax process.

    Below are some examples using the DFX modifier. See HELP FAX in Apollo for additional examples.

Sample uses of the DFX modifier

To fax an itinerary/invoice: Use the format:
With a single ATFQ HB:DFX
For ATFQ two of a PNR with multiple ATFQs HB2:DFX
For air segments only, no auxiliary segments HB:SXNONE/DFX
For each passenger in a PNR, separately HB:GIS/DFX
With Amtrak segments only LnA3/HBDFX/FS
That has not been priced HBGIN/DFX

Three important faxing rules to remember:

  1. The fax modifier (DFX) cannot be stored with a T:$B or HHPR entry.
  2. Faxing may not be combined with generating tickets or MIRs, printing itineraries/invoices to your office printer, or performed with Queue Ticketing.
  3. Form of Payment (FOP), commissions, or carrier overrides are not required in the PNR prior to faxing. (Form of payment is required when faxing an Amtrak itinerary/invoice.)
  1. Your fill in format entries directs your fax to its destination, and allows you to specify several options. This is a completed screen.

To complete field: Type:
FAX NUMBER Phone number of recipient’s fax machine. You must ALWAYS include the area code, even if it is within your own area code. International faxes require the international access code (011) and country code.
COVER Y If you want to include a cover sheet. Overtype Y with N if you do not. The default is Y.
TO Receiver’s name. Information entered in this field print on the fax cover sheet.
FROM Your name and/or your agency name. Information entered in this field prints on the fax cover sheet.
INVOICE NUMBER Invoice number. Appears on the itinerary/invoice fax page, but not on the cover sheet. May use with or without the cover sheet option. Cannot use with a GIS modifier.
DEPT/BILLING CODE Internal billing code. It does not print on the fax, but is sent to AT&T. AT&T will then sort your bill based on the codes you use. May use with or without the cover sheet option.
MESSAGE Any additional information for the cover sheet. Tab to move from line to line. Do not use Apollo characters (end items or pillows).

Press Enter. "FAX ISSUED" should appear at the bottom of the screen. If you receive an agent alert, type $FX to redisplay the screen. Make corrections, and press enter again.

Was Your FAX Delivered?

A "FAX ISSUED" response means ApolloFax accepted your fax request.

After you receive the "FAX ISSUED" response, you can view the status of your fax transmission.

To view the status of your fax transmission:
  1. Redisplay the PNR. As with any HB or HB: entry in Apollo, to continue working with the PNR you must redisplay it.
  2. ApolloFax adds remarks fields in your PNR to update you on the status of your fax. Type *PRFX to display these remarks.

This is an example of a fax remark:

Remarks Date and Fax Status Message Reference Identifier Time Remark Number (a unique identifier for each fax transmitted)

This remark: Means:
FAX TRANSMITTED AT&T Easylink in the process of sending fax.
FAX DELIVERED The fax was delivered to its destination.
What if your fax was not delivered?

If your fax was not delivered, a series of remarks is added to your PNR. These remarks describe the reason your fax was not delivered. The PNR is also placed on queue 0.

  1. Type *PRFX to display the fax remarks.
  2. Read the information contained in the remarks. An example of a series of ApolloFax cancellation remarks is shown below.
  3. Contact the fax recipient to resolve any fax machine problems or determine if fax phone number requires correction.
  4. Resend the fax using your original HB: entry and DFX modifier

TIME ENTERED: 8MAY94 12:09 EST The time the fax was sent
ADDRESSED TO: NTF NTF = cancellation notification
FAX 6024405678 The phone number the fax was sent to
:DEB120 Department/Billing code information
CUSTOMER INFO:/31D4D9 PNR Record Locator
REASON FOR CANCELLATION The reason the fax was not delivered appears below
DESTINATION TERMINAL IS CONTINUALLY BUSY The reason why your fax was not delivered successfully. In this case the receiving fax machine was busy for all fax retries
